Exhibition Collaboration

Some exhibitions are managed by more than one person.

The Collaboration tab lets you share one exhibition record with other Artlope users so you can work on the same exhibition instead of keeping separate copies.

To invite someone, enter their email address and click Invite.

Artlope then creates an invitation for that exhibition.

This is useful when:

  • more than one artist is organizing the exhibition together
  • one person is keeping the shared record up to date
  • you want collaborators to see the same exhibition details, artworks, and files

When someone accepts the invitation, you are no longer keeping separate copies of the exhibition.

You are working inside one shared exhibition record.

That means collaborators can see and work with the same shared exhibition information, such as:

  • the exhibition name, location, venue, type, and dates
  • the exhibition external link
  • contact details
  • other artists listed on the exhibition
  • events connected to the exhibition
  • the artworks included in the exhibition
  • exhibition-specific artwork details, such as prices or edition notes for that show
  • exhibition files and comments inside Artlope
  • exhibition expenses and shared stats

In practice, this is helpful when you want everyone to stay aligned around the same show without re-entering the same information in multiple places.

Some parts of a shared exhibition still stay personal to each collaborator.

This is especially important for how the exhibition appears in each artist’s own Artlope website.

Each collaborator keeps their own:

  • exhibition description
  • artist statement
  • title image
  • Show on website setting
  • whether the exhibition’s external link is shown on their website

So even when the exhibition itself is shared, each artist can decide how much of it appears on their own website and how they want to present it there.

For example, one artist may publish the exhibition on their website with a full text and poster image, while another may keep it hidden or use different text.

Your artworks also still belong to you.

A shared exhibition can include works by different collaborators, but each person is still connecting their own artworks into that exhibition.

The collaborators section shows who is already connected to the exhibition.

It can show:

  • name
  • email
  • role
  • whether that person is you

The main roles are:

  • Creator
  • Collaborator

The creator is the person who started the exhibition record. Collaborators are the people invited into it.

The invitations section helps you track invitations that have already been sent.

For each one, you may see:

  • the invited name or email
  • invitation status
  • when it was first sent
  • when it was resent

Invitation statuses can include:

  • pending
  • accepted
  • declined
  • rejected
  • canceled

If needed, you can resend a pending invitation or cancel it.

When an exhibition is shared, Artlope can mark it with a shared badge in the exhibitions list and on the exhibition page.

This makes it easier to tell shared records apart from exhibitions that belong only to you.

On the exhibition detail page, the red action changes based on who is still connected to the exhibition.

If other collaborators are still connected, the action is Leave.

Choosing Leave removes you from the exhibition but keeps the exhibition for the remaining collaborators.

When you leave, your own connection to the exhibition is removed.

That can include things you personally added, such as:

  • your artworks in that exhibition
  • your exhibition description, artist statement, and title image
  • your attachments
  • your comments

The shared exhibition itself remains for everyone else who is still part of it.

If you are the last person connected, the action is Delete instead and removes the exhibition itself.

In both cases, Artlope asks you to type the exhibition name before the action is confirmed.
