Artwork Details
Each artwork can hold a lot of information. Most fields are there to help you stay organized. You do not need to fill in everything at once.
Basic details
Section titled “Basic details”Name is the title of the work.
Date is when the artwork was made. You can enter only the year, or the year and month, if that is all you know.
Status shows where the work stands. For example: planned, in progress, done, reserved, or lost.
Inventory number is your own internal ID. It does not need to be a number.
Website visibility lets you decide how this artwork behaves on your public website:

Type and editions
Section titled “Type and editions”Use Original for one-of-a-kind work.
Use Limited edition if there is a fixed number of copies. You can also enter the edition size.
Use Open edition if copies are not limited.
Organizing fields
Section titled “Organizing fields”Categories help you group artworks by series, project, theme, or any structure that fits your practice. You can read more in Categories.
Materials is a free text field. Artlope can suggest materials you used before.
Dimensions is also free text. You can write sizes in the way that makes sense for your work.
Frame is a free text field for describing whether and how the artwork is framed. Leave it empty if there is no frame. Artlope can suggest frame descriptions you used before.
Collaboration lets you note the people who worked with you on the piece.
Storage location helps you remember where the artwork is kept.
Text and references
Section titled “Text and references”Description is your written note about the artwork.
Citations let you connect artworks to each other. For example, a print can point to its original. Artlope creates the reverse link automatically, so you only need to add it once.
Comments are private notes for you.
Images and files
Section titled “Images and files”Each artwork has one primary image. This is the main image used across Artlope.
You can also add more gallery images, such as detail shots, framed views, or process photos.
Attachments let you store documents with the artwork. This can include PDFs or text documents.
Pricing and history
Section titled “Pricing and history”Pricing is the amount you want to sell the work for. The default currency comes from your account settings, but you can change it per artwork if needed.
Exhibition history shows where the artwork has been shown.
Sale history appears once a sale has been recorded.
Pricing history shows how the price changed over time.
Expenses lists costs connected to the artwork.
Stats gives you a quick overview of how the artwork has performed.
What is visible on your website
Section titled “What is visible on your website”Most artwork fields stay private.
If your website is enabled, these fields can be public:
- title
- year
- materials
- dimensions
- description
- primary image
- exhibition history
You can also choose to show these fields in your website settings:
- price
- whether the artwork is sold or reserved
- the full image gallery
Whether the artwork itself appears at all depends on the artwork’s Website visibility field and the website-wide switches for done and sold artworks.
